Policies

Version 2026-10-28 · Last updated 28 October 2026

These policies set out the practical rules that go with the Terms of service and the Privacy policy: how licences and payments work, when refunds are available, what is and is not acceptable, how long information is kept, what we do when something goes wrong, and how we use cookies.

1. Licences and renewal

Licences are bought for 1, 3, 6 or 12 months at the price shown on pos.business at the time of purchase.

To keep selling without a break, renew before your licence ends. A term bought before the end of your current licence is added after the current end date, so no paid days are lost.

We confirm each payment by hand before we activate a licence. We aim to confirm payments within one working day. If a payment has not been confirmed after that, tell us through Support chat, which you can open from pos.business or from the Business POS app, with the date and amount of your payment.

A licence can be used for one owner account. Shops, team members and records are covered by the owner account that holds the licence.

2. Refunds and cancellations

Payments for an activated licence are not refundable, because the licence has been made available to you from the day it starts.

If you paid for a licence by mistake, or paid for a term you have not started, contact us within 7 days of payment through Support chat, which you can open from pos.business or from the Business POS app. Where the licence has not been activated, we will refund the payment to the same account you paid from, or as we agree with you in writing.

If the Service is unavailable to you for 14 consecutive days because of a fault on our side, we will extend your licence by the number of days it was unavailable, or, if you prefer, refund the unused part of the term that corresponds to those days.

If you close your account before the end of your term, the unused part of the term is not refunded, except where the law requires a refund or where we have failed to provide the Service.

Refunds may take up to 14 days to appear, depending on your bank or payment provider.

3. Acceptable use

Business POS may be used only for lawful business. You must not use it to sell goods or services that are illegal, to deceive customers, to launder money, or to falsify sales, stock, refunds, voids or receipts.

You must not attempt to access another shop's information, bypass a licence, share an account, create accounts to avoid limits, or overload the Service.

You must not use the Service to send spam, to harass anyone, or to publish content that is unlawful or offensive.

You must not try to find or exploit security weaknesses. If you find one, tell us through Support chat, which you can open from pos.business or from the Business POS app and give us a reasonable time to fix it before you tell anyone else.

We may suspend an account that breaks this policy. We will tell you why where we can, and give you a chance to explain, unless the law or a serious risk prevents it.

4. Team members and roles

Owners decide who joins their shops and what role each person has. Owners can give managers or staff the access they need, and remove it.

Staff sell at the till. Managers run one shop. Owners run the account. Team members must not share the login they are given.

When someone leaves, the owner should set their status to disabled or locked straight away.

5. Data retention

Account and business records are kept while the account is active, and for two years after it is closed, unless the law requires longer.

Payment screenshots and licence records are kept for five years.

Support messages are kept for two years after the conversation ends.

Notifications are kept for 15 days and then removed automatically.

Security and sign-in records are kept for 90 days, or longer if they are needed for an investigation.

Backups are kept for 30 days, after which older copies are deleted.

When you ask us to delete your account, we delete or anonymise its information within 30 days, except where the law or our legal rights require us to keep it.

6. Security incidents

If we discover a security incident that affects personal information or access to the Service, we will contain it, investigate it, and tell affected people as soon as we reasonably can. We will explain what happened, what information was involved, what we have done, and what you should do.

If you think there has been a security problem, tell us at once through Support chat, which you can open from pos.business or from the Business POS app. Do not wait for a full explanation before you tell us.

7. Notifications and announcements

The Service may send notifications, such as low stock alerts, and announcements from the Business POS team.

Low stock alerts are sent to everyone who works in the shop when a product falls below 5 units. They stay on screen until closed, and remain in the notification list for 15 days.

Announcements may be sent to everyone who uses the Service, or to owners, managers or staff. Owners are responsible for passing on any announcement that affects their shop.

8. Cookies and local storage

The website and the app use only the cookies and local storage that are needed to sign you in, to protect forms against misuse, and to remember your language choice.

If you ask us to remember your email on a device, we store it on that device. We do not use advertising cookies or track you across other websites.

The Android app stores your sign-in in protected storage on your phone. If you turn on the fingerprint or face lock, the check is made by your phone, and the app does not receive your biometric data.

You can clear cookies and local storage in your browser or phone settings. You may need to sign in again afterwards.

9. Changes to these policies

We may update these policies from time to time. The current version is always on this page, with the date of the last change. For significant changes, we will tell owners in the app or on the website before the change applies.

10. Help and contact

For any question about these policies, a licence, a payment, or a request about your information, use Support chat, which you can open from pos.business or from the Business POS app.
